HubSpot is often used as a CRM. It’s used much less frequently as a cold email outreach tool. However, its Sequences feature, combined with its automation workflows, makes it a comprehensive tool for teams that want to centralize everything in one place.
What HubSpot Does in Lead Generation
The Sequences feature (available starting with the Sales Hub Starter plan) allows you to set up sequences of personalized emails that are sent automatically from the sales rep’s connected email account. The emails are sent from the sales rep’s personal email address, not from a shared sending domain. This is a major advantage for deliverability and helps give the message a more personal touch.
As soon as a prospect responds, the sequence stops automatically. The contact's status changes to "responded" in the CRM. The sales representative receives a notification and takes over.
HubSpot workflows let you take things a step further: if a contact hasn't opened an email after 5 days, assign a LinkedIn follow-up task to the sales rep. If the contact opens the email 3 times without responding, trigger a priority call task.
Setup in 5 Steps
Step 1: Connect the sales rep's Gmail or Outlook account to HubSpot (Settings > Email Integrations).
Step 2: Create the sequence in Sales > Sequences. Add the following steps: Day 1 email, Day 4 email, Day 8 email, Day 5 LinkedIn task, Day 14 follow-up email.

Step 5: Configure the alert workflow: If a contact has been enrolled in a sequence for more than 3 days without opening any emails, send a Slack notification to the sales representative with the recommended action.
HubSpot's Limitations for Cold Emailing
HubSpot Sequences is not designed for high volumes. The platform limits the number of sign-up emails sent via sequences to 500 per day on the Starter and Professional plans. For high-volume campaigns, Lemlist or Instantly are better suited.
HubSpot does not natively support domain warm-up or email rotation. For high-volume campaigns, we recommend connecting HubSpot to a dedicated deliverability tool such as Mailreach.
The Real Value: Native CRM Integration
HubSpot's strength in lead generation lies not in volume, but in consistency. Every email sent, every open, and every reply is automatically logged in the contact record. The sales rep has a complete view of the history without having to enter anything manually.
